This vital role combines front desk responsibilities with estimating duties, ensuring smooth office operations and accurate project assessments. As the first point of contact for visitors and clients, you'll create a welcoming environment while efficiently managing administrative tasks. Your expertise in office management, customer service, and technical skills will drive our success and enhance client satisfaction. Responsibilities Greet visitors, clients, and vendors with professionalism and enthusiasm, ensuring a positive first impression. Manage multi-line phone systems, directing calls promptly and courteously while maintaining excellent phone etiquette. Handle all front desk duties including scheduling appointments, managing calendars, and organizing incoming/outgoing mail. Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software. Assist in office management tasks such as supply ordering, document proofreading, and maintaining a clean workspace. Support customer service efforts by responding to inquiries via phone or email with clarity and professionalism. Prepare estimates by reviewing project specifications, measuring materials or services needed, and utilizing QuickBooks or bookkeeping tools for accurate cost calculations. Coordinate with team members to ensure timely project updates and efficient workflow processes. Support administrative functions like bookkeeping, invoicing, and basic clerical tasks to keep operations running smoothly. Experience Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail. Proven customer service skills with the ability to communicate effectively in person and over the phone. Familiarity with front desk procedures including multi-line phone systems and calendar management. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and basic data entry skills. Experience with QuickBooks or similar bookkeeping software is preferred but not required. Bilingual abilities are a plus for supporting diverse client needs. Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
