We focus on trusts, estates, probate, real estate, and related litigation, as well as financial services such as investment strategies, retirement planning, and trust funding. Our work involves ensuring that client assets are properly managed to minimize tax liabilities and maximize wealth preservation. We are seeking a highly organized Administrative Assistant & Receptionist to provide direct support to our attorneys and financial professionals. This role requires someone who is proactive, detail-oriented, and comfortable interacting with high-net-worth clients. You will manage the front office, assist with legal and financial documentation, and help keep our team organized and efficient.
Responsibilities:
Client Services & Reception Greet, welcome, and direct visitors professionally. Answer, screen, and route phone calls with a high level of professionalism. Manage front desk operations and ensure the reception area is presentable. Interface with clients, addressing their legal and financial concerns. Attend estate planning seminars. Administrative & Legal Support Manage attorney and financial advisor calendars—schedule calls and meetings. Assist attorneys and financial advisors in preparing for client meetings and court appearances. Monitor attorney and advisor emails and delegate tasks appropriately. Handle confidential client documents with discretion. Assist in drafting of legal documents, (training provided).
Court & Financial Document Processing Legal:
File/record petitions, deeds, and other legal documents with the court.
Financial:
Assist in processing financial account applications, investment statements, and trust funding documentation. Handle e-filing of court documents and serve parties with legal filings via mail or e-service. Support financial services staff with forms related to investment accounts and trust funding. Mail & Office Organization Receive, sort, and distribute daily mail, deliveries, and couriers. Maintain a well-organized filing system for legal and financial records.
Requirements:
Proficient with Microsoft Office Suite and Adobe Acrobat Self-starter with excellent work ethic, multitasking abilities, and professionalism Strong written and verbal communication skills Highly organized and able to prioritize tasks as they arise Bachelor's degree or equivalent experience preferred but not required Law firm or financial services experience preferred but not required
