Job Description

Overview We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience from the moment they arrive. Your energetic approach and organizational skills will help maintain a smooth-running front office environment, supporting various administrative functions and office management tasks. This paid position offers an exciting opportunity to develop your customer service expertise while contributing to a vibrant team atmosphere. Responsibilities Greet visitors warmly and professionally, directing them appropriately and ensuring a positive first impression Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness Maintain appointment calendars, schedule meetings, and coordinate conference room bookings using calendar management tools Perform data entry, filing, and document proofreading to support office operations with precision Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks or similar software, and record keeping Assist with clerical duties including photocopying, scanning documents, and maintaining organized files for easy retrieval Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Exceptional customer service skills with a friendly demeanor and professional phone etiquette Bilingual abilities are highly valued to serve diverse client needs effectively Previous office experience or clerical experience is preferred to ensure smooth onboarding into the role Knowledge of medical or dental receptionist procedures is a plus but not required Ability to manage time efficiently while handling multiple responsibilities simultaneously Join us in creating a welcoming environment where professionalism meets warmth!
