Receptionist/Administrative Assistant Position Summary The Receptionist/Administrative Assistant plays a vital role in supporting the Executive Director, Program Director, and Administrative Director by managing the systems, communication, and organization that keep D'Vine Path running smoothly. D'Vine Path is a dynamic and growing program, and this role requires someone who thrives in a fast-paced, ever-evolving environment where priorities may shift frequently to benefit our neurodivergent population. The ideal candidate is highly organized, positive, and adaptable, with a strong ability to stay grounded, solution-oriented, and proactive throughout the day. This role is perfect for someone who enjoys creating and maintaining structure behind the scenes, supporting a mission-driven team, and stepping in wherever needed with a can-do attitude. Front Desk Serve as the front-desk point of contact, answering the main phone line and directing inquiries Greet visitors, students, and families with enthusiasm, providing exceptional service and ensuring a positive first impression Manage front desk activities including greeting guests, handling mail and packages, and maintaining a welcoming environment Support program management tasks such as inventory tracking, supply ordering, and maintaining cleanliness of common areas Administrative & Program Support Maintain and organize student files with a high level of accuracy and attention to detail Update and manage student emergency face sheets and required documentation Assist with student onboarding and offboarding processes Manage administrative aspects of internal student transfers and in-house assessments Assist in administrative aspects of internal program growth and changes as needed Identify and create new efficient administrative systems as needed Create, track, and obtain updated documents and assessments in compliance with the San Diego Regional Center Schedule student annual meetings and maintain assessment calendars Maintain and update the overall program calendar Leading or assisting in program tours as needed Leading or assisting in group activities as needed Communication & Coordination Communicate professionally and compassionately with students, caregivers, staff, volunteers, and external partners in a timely manner Assist with administrative communication and documentation for San Diego Regional Center Coordinate and schedule required staff trainings and annual student meetings Support clear and consistent communication across the program in congruence with the Program Director, Administrative Director, and CEO Systems & Data Management Maintain accurate and up-to-date information across multiple platforms, including: Google Workspace Dropbox Quo WhatsApp Mailchimp Organize and maintain digital filing systems as well as paper files Assist in developing and improving administrative systems and processes Staff Support & Training Lead 1:1 staff trainings on new systems, tools, and communication devices Support staff in learning and utilizing technology effectively Assist in onboarding staff to administrative systems and processes Qualifications Extensive experience in administrative support and office coordination Preferred experience in education or nonprofit work Strong organizational and clerical skills with high attention to detail Ability to manage multiple tasks and shifting priorities positively and effectively Strong communication and interpersonal skills Comfortable leading tours, groups, trainings, and meetings Comfortable making phone calls and communicating with the public Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar) Familiarity with platforms such as Monday.com and Dropbox Comfortable learning, implementing, and teaching new systems and technology Ability to work independently while supporting a collaborative team MUST be able to transport students in D'Vine Path van or personal vehicle in emergency situations or to assist in occasional large group field trips Ideal Work Style & Personality The Receptionist/Administrative Assistant will thrive in this role if they are: Positive and solution-oriented: Approaches challenges with a can-do attitude and a willingness to help.

By supporting both staff and students behind the scenes, this role helps ensure that every individual who walks through our doors feels supported, seen, and set up for success. We are looking for someone who brings a sense of positivity, warmth, and confidence into their work and who can contribute to a welcoming, steady, and uplifting environment for both our team and the students we serve.
Pay:
$23.00 - $28.00 per hour Expected hours: 40.0 per week
