This vital role combines front desk responsibilities with essential administrative support, ensuring our office runs smoothly and efficiently. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will be the first point of contact for visitors and callers, providing exceptional customer service while managing a variety of clerical tasks that keep our operations on track. Responsibilities Greet visitors, tenants, contractors warmly and professionally, ensuring a positive first impression for all who enter the office Manage phone systems, answer inquiries promptly, and direct calls to appropriate personnel with excellent phone etiquette Handle front desk duties including checking in visitors, managing appointments, and maintaining visitor logs Assist property manager with work orders with tenants and other daily tasks Perform data entry and filing tasks accurately to support office organization and record-keeping Utilize Microsoft Office Suite and Google Workspace tools for correspondence, document creation, scheduling, and reporting Assist with calendar management and scheduling appointments or meetings for staff members Support office management tasks such as ordering supplies, maintaining inventory, and organizing files or documents Provide tenant support via phone or email, addressing inquiries professionally and efficiently Conduct basic data entry/bookkeeping using accounting software when needed Proofread documents for accuracy and clarity before distribution or submission Requirements Proven office experience or clerical experience in a professional setting Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar) Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Exceptional communication skills, both verbal and written; bilingual abilities are a plus Experience managing multi-line phone systems and providing outstanding customer service Familiarity with office management procedures such as filing systems, data entry, and calendar coordination Ability to handle sensitive information discreetly with strong attention to detail Personal assistant or medical receptionist experience is beneficial for understanding specialized workflows Time management skills to prioritize tasks efficiently throughout the day Spanish is a plus, but not required More than 2 years of experience as Receptionist/Admin Assistant Join us in creating a welcoming environment while supporting our team's success!
