In this vital role, you will be the welcoming face of the firm, managing front desk operations with energy and professionalism. Your proactive approach will ensure smooth office functioning, effective communication, and a positive experience for clients, visitors, and staff alike. This paid position offers an exciting opportunity to develop your administrative skills within a fast-paced legal environment. Duties Greet clients, visitors, and vendors warmly, creating a professional and friendly first impression Manage multi-line phone systems with confidence, directing calls accurately and courteously Schedule appointments and maintain calendars for attorneys and staff using digital tools such as Google Workspace or Microsoft Office Handle incoming correspondence, emails, and inquiries with promptness and professionalism Perform data entry tasks including filing, document proofreading, and updating client records with precision Support office management by organizing files, maintaining supplies, and assisting with clerical duties such as photocopying and faxing Provide customer service support by addressing client questions or concerns efficiently and courteously Requirements Proven experience in front desk or receptionist roles within an office setting, preferably in a legal or professional environment Strong organizational skills with the ability to multitask effectively in a fast-paced atmosphere Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, QuickBooks (preferred), and data entry skills Bilingual abilities are highly desirable to serve diverse client needs Exceptional phone etiquette with experience managing multi-line phone systems confidently Previous clerical or administrative experience demonstrating attention to detail and proofreading skills Ability to handle confidential information discreetly while maintaining professionalism at all times Strong time management skills with the capacity to prioritize tasks efficiently Personal assistant or office management experience is a plus for candidates seeking growth opportunities This role is ideal for motivated individuals eager to contribute to a professional legal team while honing their administrative expertise.
