Job Description

Job Overview We are seeking a dynamic and organized Receptionist and Office Assistant to join our team! In this vital role, you will be the first point of contact for visitors and callers, ensuring a warm, professional, and efficient experience. Your multitasking skills will keep our office running smoothly, supporting administrative functions and providing exceptional customer service. Responsibilities Greet visitors promptly with friendly, professional demeanor, and direct them appropriately Manage multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages Maintain organized filing systems, data entry records, and manage document proofreading for accuracy Support calendar management and scheduling for team members or executives Assist with basic bookkeeping tasks using QuickBooks or similar accounting software Perform general clerical duties such as photocopying, faxing, and maintaining office supplies Requirements Proven office management or administrative experience in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively Bilingual abilities are highly desirable to serve diverse client needs Experience with front desk operations, data entry, filing, and customer support is preferred Knowledge of phone etiquette and multi-line phone systems is essential Ability to type quickly and accurately while managing multiple responsibilities simultaneously Previous experience in medical or dental receptionist roles is a plus but not required Personal assistant or medical receptionist experience will be considered an asset Join us to be part of a vibrant team dedicated to delivering outstanding service while advancing your career in office administration!
