The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently in a fast-paced environment. Experience with office software such as Microsoft Office. The Front Desk Receptionist plays a vital role in maintaining smooth office operations and ensuring a welcoming atmosphere for clients and staff alike. Duties Greet visitors and clients with professionalism and courtesy Manage multi-line phone systems, directing calls appropriately and taking detailed messages Schedule appointments and manage calendars using office management software Handle data entry, filing, and document proofreading to ensure accuracy and organization Maintain office supplies inventory and order necessary materials Support administrative tasks such as typing correspondence, managing emails, and supporting bookkeeping activities with QuickBooks or similar tools Assist with customer support inquiries via phone or email, providing prompt and helpful responses Perform general clerical duties including photocopying, faxing, and maintaining organized files Ensure the reception area remains tidy and welcoming at all times Coordinate with team members to streamline office operations and improve efficiency Qualifications Proven experience in office management, clerical work, or administrative support roles Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills Excellent organizational skills with the ability to multitask effectively Exceptional phone etiquette and customer service skills Ability to handle sensitive information discreetly and professionally Bilingual abilities are advantageous for serving diverse clients Prior experience as a medical receptionist or dental receptionist is a plus but not required Personal assistant or calendar management experience is beneficial Strong typing skills with attention to detail for proofreading documents This position offers an engaging work environment where professionalism, efficiency, and excellent communication are valued. The successful candidate will be instrumental in creating a positive experience for all visitors while supporting daily office functions seamlessly.
