In this vital role, you will be the first point of contact for visitors and clients, managing front desk operations with enthusiasm and professionalism. Your proactive approach will ensure smooth communication, accurate data entry, and exceptional customer support, contributing to the overall success of our organization. This paid position offers an exciting opportunity to develop your administrative expertise while supporting a vibrant team. Greet visitors, clients, and vendors warmly, ensuring a positive first impression. Manage multi-line phone systems with professionalism, answering inquiries and directing calls efficiently. Handle incoming and outgoing correspondence, including emails, mail, and packages. Maintain organized filing systems, data entry records, and ensure accurate documentation using Microsoft Office and Google Workspace tools. Schedule appointments, manage calendars, and coordinate meetings to optimize office workflow. Support office management tasks such as supply inventory, proofreading documents, and assisting with bookkeeping using QuickBooks. Provide exceptional customer service by addressing inquiries promptly and courteously while maintaining excellent phone etiquette. Assist with clerical duties including typing reports, proofreading documents, filing records, and supporting administrative projects as needed. Prior office experience or administrative support roles demonstrating strong organizational skills. Proficiency in computer literacy with familiarity in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and basic data entry skills. Experience handling multi-line phone systems and providing excellent customer support in a professional setting. Bilingual abilities are highly valued to serve diverse client needs effectively. Knowledge of office management procedures such as calendar management, filing systems, and clerical tasks is preferred. Previous experience in medical or dental reception is a plus but not required; relevant personal assistant experience is also beneficial. Strong time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail through proofreading and data entry.
