Job Description
Receptionist / Office CoordinatorJob Summary Cal Oaks Termite is seeking a professional, organized, and customer-focused Receptionist / Office Coordinator to serve as the first point of contact for our customers and support the daily operations of our growing termite and construction business. In this role, you will manage incoming calls, schedule inspections and construction work, assist with customer communication, and provide administrative support to ensure smooth office operations. The ideal candidate is dependable, detail-oriented, able to multitask in a fast-paced environment, and committed to providing outstanding customer service. Experience in office administration, scheduling, or customer service is preferred. Responsibilities Answer incoming phone calls professionally and assist customers with scheduling inspections, treatments, and construction services. Greet customers, vendors, and visitors in a friendly and professional manner. Manage daily scheduling and coordinate appointments for inspectors, technicians, and subcontractors. Communicate with customers regarding appointments, estimates, invoices, and service updates. Maintain organized filing systems, customer records, and digital documents. Perform data entry and maintain accurate records within company software systems. Assist with preparing reports, invoices, contracts, and other office documents. Monitor office supply inventory and assist with general office organization. Support management with administrative tasks and special projects as needed. Handle incoming and outgoing mail, emails, and other correspondence. Maintain professionalism and confidentiality in all customer and company matters. Requirements Previous experience in a receptionist, administrative assistant, customer service, or office support role preferred. Strong communication and customer service skills. Ability to multitask, stay organized, and work efficiently in a fast-paced office environment. Proficiency with Microsoft Office (Word, Excel, Outlook) and general computer skills. Experience with scheduling, phones, and office administration. Strong attention to detail and problem-solving abilities. Ability to work independently and as part of a team. Experience in the construction, termite, pest control, or home services industry is a plus. Work Environment This position is based in an office setting and requires frequent communication with customers, technicians, inspectors, and subcontractors throughout the day.
