This role combines front desk responsibilities with sales support, ensuring a welcoming environment for visitors and clients while actively contributing to business growth. Responsibilities Greet visitors, clients, and vendors warmly, providing exceptional customer service and ensuring a positive first impression Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, invoices and packages with attention to detail Maintain organized filing systems, data entry records, and office supplies inventory Support administrative tasks such as calendar management, appointment scheduling, and basic bookkeeping using Quickbooks or similar software Assist with office management duties including proofreading documents, managing office supplies, and supporting team members as a personal assistant when needed Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for various administrative functions Perform clerical duties such as typing reports, proofreading documents, and maintaining accurate records with organizational precision Support sales efforts by providing product or service information to clients and assisting in client follow-ups Ensure smooth daily operations by managing office equipment and troubleshooting basic technical issues Experience Proven experience in front desk or receptionist roles within an office environment Strong proficiency with multi-line phone systems and excellent phone etiquette skills Bilingual abilities are highly desirable to serve diverse client needs effectively Demonstrated office management or administrative experience including calendar management and data entry Familiarity with customer service principles and support techniques to foster positive client relationships Competence in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), QuickBooks for bookkeeping, and general data entry skills Experience with clerical tasks such as filing, proofreading documents, and managing office supplies efficiently Ability to prioritize tasks effectively using time management skills in a fast-paced setting Personal assistant experience or familiarity with bookkeeping enhances your fit for this role Join us to be part of a vibrant team where your organizational talents and proactive approach will make a meaningful impact.
