This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic , detail-oriented , and p ossess excellent communication skills . Your enthusiasm and proactive approach will help create a welcoming environment for clients, visitors, and staff alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a vibrant professional setting. Duties Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel with professionalism and courtesy Handle front desk operations, including scheduling appointments, maintaining visitor logs, and organizing incoming correspondence Perform data entry and maintain accurate filing systems both digitally using Google Workspace and physically for easy retrieval Assist with office management tasks such as supply inventory, equipment maintenance, and calendar management for staff appointments Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking Proofread documents, correspondence, and reports to ensure clarity, accuracy, and professionalism Qualifications Proven office experience with strong clerical skills in a fast-paced environment Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively Strong typing skills coupled with good computer literacy and data entry accuracy Experience handling multi-line phone systems with professional phone etiquette Bilingual abilities are highly desirable to serve diverse client needs Previous experience as a receptionist or administrative assistant in medical or dental offices is a plus Knowledge of office management procedures, filing systems, and basic bookkeeping practices (QuickBooks preferred) Exceptional customer service skills with a friendly demeanor and positive attitude Join us in creating an efficient, welcoming environment where your organizational talents shine!
