Responsibilities Greet patients and visitors warmly, ensuring a positive first impression of the organization Answer multi-line phone systems promptly and professionally, directing calls efficiently Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office Handle incoming and outgoing correspondence, including emails, mail, and deliveries with accuracy Maintain organized filing systems, data entry records, and ensure proper document proofreading Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and clerical duties Assist with customer support by addressing inquiries, providing information, and ensuring excellent service standards Perform general administrative tasks including typing reports, managing office emails, and supporting personal assistant duties as needed Willing and able to travel if needed. Experience Previous office or administrative experience is preferred, especially in roles such as medical receptionist or administrative assistant (Previous Vascular Specialty office experience is highly recommended) Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with multi-line phone systems and phone etiquette to handle high call volumes professionally Bilingual abilities are a must to serve diverse patients effectively Demonstrated organizational skills with attention to detail in data entry, filing, proofreading, and calendar management Excellent customer service skills with a friendly demeanor and effective communication abilities Join us in creating a welcoming environment where professionalism meets warmth!
