This role is the nerve center of the Wellness operation—owning scheduling, member communication, and day-to-day coordination to ensure a seamless, high-touch experience for our membership. The Athletics and Wellness Receptionist is responsible for the following: Coordinate and manage all Spa appointments across both locations, ensuring accurate booking, timely confirmations, and completion of all required member waivers. Schedule all Athletics & Wellness services through Northstar, maintaining accuracy and alignment across systems. Monitor and reconcile Spa appointment books and Northstar systems, proactively identifying and resolving discrepancies. Review and audit member charges for accuracy, ensuring prompt resolution of any issues. Manage and respond to Massage and Athletics email communications throughout each shift with a polished, concierge-level approach. Regularly review OneNote and internal communication platforms to stay aligned on updates, programming changes, and operational priorities. Maintain and update Spa and Group Exercise (GX) schedules, ensuring all changes are communicated seamlessly to members and staff. Serve as the primary point of contact for all Athletics & Wellness and Spa offerings, delivering knowledgeable, high-touch service to members. Assist members with online reservations for classes and events, demonstrating expertise across the Club's website, mobile app, and Northstar platform. Clearly communicate and uphold all departmental policies, including cancellations, with professionalism and consistency. Support the execution of exclusive member events, including those held outside standard operating hours. Maintain a pristine, organized, and visually refined reception and office environment aligned with luxury brand standards. Ensure all marketing collateral and member-facing communications are current, accurate, and aesthetically aligned. Troubleshoot operational issues in real time, escalating to leadership as needed for swift resolution. Provide cross-functional support across Pilates, Personal Training, and Group Exercise operations. Attend monthly departmental meetings and contribute to ongoing communication and service initiatives. Operate with composure under pressure, maintaining attention to detail in a high-volume, high-touch environment. Uphold and embody the Club's mission, delivering a consistently elevated and personalized member experience. Qualifications Exceptional written and verbal communication skills with a polished, professional presence Strong organizational skills with the ability to manage multiple priorities and systems simultaneously High attention to detail with a proactive, problem-solving mindset Ability to work efficiently under pressure while maintaining service excellence Proficiency in booking and scheduling platforms (Northstar experience preferred) Comfortable navigating web-based systems, mobile apps, and internal communication tools Availability to work weekends and holidays as needed Administrative Skills High school diploma or GED required Proficiency in Microsoft Office Suite, including Word, Excel, OneNote, and Outlook Strong written and verbal communication skills Highly organized with the ability to quickly locate and manage critical information Effective time management skills, with the ability to prioritize and execute multiple tasks throughout the day.
Schedule:
Tuesday-Friday 5:00am-1:30pm and Saturday 6:00am-2:30pm
Pay Rate :
