This role is ideal for someone who thrives in a fast-paced environment, is highly organized, and can manage scheduling for multiple physical therapists while providing a professional and welcoming patient experience.
Key Responsibilities :
Greet patients and manage check-in/check-out with a friendly, professional attitude Answer incoming calls and return voicemails promptly Conduct patient intake by verifying patient name, date of birth, referring physician, insurance information, and appointment details to ensure accuracy and compliance. Schedule, confirm, and coordinate patient appointments across multiple physical therapists Manage and balance multiple provider schedules efficiently Collect, post, and reconcile patient payments accurately Maintain, update, and organize patient charts in the EMR system Scan and manage medical records and documentation Communicate with physicians' offices to obtain referrals and imaging reports Ensure compliance with HIPAA regulations and maintain strict patient confidentiality Keep the reception area clean, organized, and welcoming Follow clinic supply, documentation, and workflow protocols Assist with other administrative duties as assigned
Qualifications:
Minimum of 1-3 years of experience in a medical office or customer-facing administrative environment required, including at least 1 year of recent, relevant experience in a healthcare setting. Ability to work both independently and collaboratively as part of a team. Strong multitasking and organizational skills in a fast-paced environment. Experience managing multiple provider schedules strongly preferred. Knowledge of HIPAA regulations and patient confidentiality standards. Excellent verbal, written, and phone communication skills. Skill in fax and copy machine Strong attention to detail with consistent follow-through. Proficient in computer use, including data entry, Microsoft Word, Outlook, and EMR systems. Reliable, punctual, and highly accountable.
Physical Requirements:
Ability to sit and stand for extended periods while performing general office duties. Occasional lifting (up to 30 lbs), bending, and reaching required. Must be able to perform essential job functions with or without reasonable accommodation.
Schedule:
Monday-Friday, 8:30 AM - 5:30
