Job Description

Job Summary We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be proactive, organized, and possess excellent communication skills, ready to handle a variety of clerical tasks with enthusiasm and professionalism. Responsibilities Greet visitors, clients, and vendors warmly, providing outstanding customer service and ensuring a positive first impression with a smile. Solid communication skills both written and verbal. Manage multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette Handle front desk duties including scheduling appointments, managing mail. Perform data entry and filing tasks with accuracy using Microsoft Office, Google Workspace, and other office software tools Support office management activities such as calendar management, meeting coordination, and supply inventory tracking Assist with bookkeeping tasks using QuickBooks or similar accounting software to support basic financial recordkeeping Provide clerical support including proofreading documents, preparing reports, and managing correspondence Maintain an organized filing system for both physical and digital documents. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Demonstrated experience in office management or administrative roles, including data entry and filing systems Exceptional customer service skills combined with professional phone etiquette for handling inquiries and support calls Bilingual abilities are highly desirable to serve diverse client needs effectively Knowledge of front desk operations, medical or dental receptionist duties, or personal assistant experience is a plus Familiarity with office equipment such as multi-line phones, printers, scanners, and basic bookkeeping tools like QuickBooks Strong time management skills with the ability to multitask efficiently while maintaining attention to detail Experience in proofreading documents for accuracy and clarity to ensure high-quality communication Join us in creating a welcoming environment where organization meets exceptional service!
