In this vital role, you will serve as the first point of contact for clients, visitors, and staff, ensuring a welcoming and professional environment. You will manage front desk operations, handle multi-line phone systems, and provide essential administrative support to keep our office running smoothly. Your proactive approach, exceptional organizational skills, and positive attitude will contribute significantly to our team's success. This paid position offers an exciting opportunity to develop your office management skills while supporting a collaborative work environment. Duties Greet visitors and clients warmly, directing them appropriately and maintaining a professional front desk presence Manage multi-line phone systems with excellent phone etiquette, screening and forwarding calls efficiently Handle scheduling tasks such as calendar management and appointment setting using Microsoft Office and Google Workspace tools Perform data entry, filing, proofreading, and document management with high accuracy and attention to detail Assist with office management tasks including supply ordering, inventory tracking, and maintaining organized workspaces Support customer service efforts by responding promptly to inquiries via phone or email and providing exceptional support Perform clerical duties such as copying, scanning, mailing, and managing incoming/outgoing correspondence Qualifications Proven office experience with strong computer literacy in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Prior experience with clerical tasks such as data entry, filing, proofreading, and document management Strong customer service skills coupled with professional phone etiquette for handling inquiries via multi-line phone systems Bilingual abilities are highly desirable to serve diverse client needs effectively Knowledge of QuickBooks or bookkeeping experience is a plus for supporting basic financial tasks Previous experience in medical or dental receptionist roles is beneficial but not required; training will be provided on specific procedures Join us in creating a welcoming atmosphere while supporting our office operations with enthusiasm!
