Job Description

Job Summary We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression and supporting the overall efficiency of our office environment. Responsibilities Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, screen calls, and direct inquiries to appropriate departments or personnel Handle scheduling tasks such as calendar management and appointment setting with accuracy and efficiency Maintain organized filing systems, data entry records, and ensure proper document proofreading for accuracy Support office management duties including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Assist with clerical tasks such as typing correspondence, proofreading documents, and managing customer support requests Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports, spreadsheets, and presentations Qualifications Proven office experience with strong clerical skills in a fast-paced environment Excellent customer service skills with professional phone etiquette and interpersonal communication abilities Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools Familiarity with multi-line phone systems and office management procedures Bilingual abilities are a plus for effective communication with diverse clients and visitors Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively Experience in medical or dental receptionist roles is advantageous but not required; relevant personal assistant experience is also valued Knowledge of bookkeeping software such as QuickBooks is preferred but not mandatory Join us in creating a welcoming atmosphere where professionalism meets enthusiasm!
