Job Description

Job Overview We are seeking an energetic and detail-oriented Front Desk Receptionist/Operations Assistant to be the welcoming face and efficient coordinator of our busy office environment. In this vital role, you will manage front desk responsibilities, handle multi-line phone systems, and support daily office operations to ensure a smooth and professional experience for visitors, clients, and team members alike. Your proactive approach and organizational skills will help maintain a positive atmosphere while supporting administrative functions that keep our office running seamlessly. Duties Greet visitors warmly, direct them appropriately, and ensure a professional first impression. Manage multi-line phone systems with excellent phone etiquette, screening calls and routing messages accurately. Handle scheduling tasks including calendar management, appointment setting, and personal assistant duties as needed. Maintain organized filing systems, perform data entry, and ensure accurate recordkeeping using Microsoft Office, Google Workspace, and QuickBooks. Support office management tasks such as inventory control, supply ordering, and basic bookkeeping. Assist with clerical duties like proofreading documents, preparing correspondence, and managing incoming/outgoing mail. Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs efficiently. Experience Previous office or administrative experience demonstrating strong organizational skills and multitasking ability. Proven proficiency with computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools. Experience handling multi-line phone systems with professionalism and courtesy. Bilingual skills are highly desirable to serve diverse clients and team members effectively. Familiarity with bookkeeping software such as QuickBooks is a plus. Demonstrated ability to manage calendars, coordinate appointments, and support personal assistant tasks efficiently. Strong typing skills along with attention to detail for proofreading and document accuracy.
