In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to clients, visitors, and staff. Your organizational skills and professionalism will ensure smooth daily operations, support office management tasks, and uphold a positive, efficient environment. This paid position offers an exciting opportunity to be the first point of contact in a dynamic legal setting while honing your administrative and clerical expertise. Responsibilities Greet clients, visitors, and staff with a friendly and professional demeanor, ensuring they feel welcomed and valued Manage multi-line phone systems, screen calls, take messages, and direct inquiries appropriately Maintain a clean, organized reception area and manage incoming/outgoing mail and deliveries Assist with calendar management, appointment scheduling, and basic office management duties Support clerical tasks such as data entry, filing, proofreading documents, and maintaining records Use computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare documents and manage correspondence Provide customer support by addressing inquiries promptly and courteously while maintaining excellent phone etiquette Skills Proven experience in front desk or office reception roles with strong organizational skills Excellent communication skills in English; bilingual abilities are a plus for serving diverse clients Proficiency with multi-line phone systems and computer literacy including Microsoft Office and Google Workspace Strong clerical experience with data entry, filing, proofreading, and document management Knowledge of office management procedures including calendar management and bookkeeping (QuickBooks experience is advantageous) Exceptional customer service skills with a professional attitude and polished phone etiquette Ability to multitask efficiently in a fast-paced environment while demonstrating excellent time management skills Personal assistant or administrative experience that includes supporting office operations or managing schedules
Languages:
Able to speak Spanish and Portuguese, with conversational proficiency; preferred for roles involving communication with Spanish- and Portuguese-speaking clients.
