Solterra Academy is seeking a Full-Time Administrative Assistant / Receptionist to serve as the first point of contact in our Main Office while providing essential administrative and admissions support. This role is ideal for someone who thrives in a fast-paced, mission-driven school environment and enjoys supporting students, families, and staff.
Schedule:
Monday to Friday, 7:00 AM - 3:30 PM (In-Person)
Starting Hourly Rate:
$19.00, commensurate with experience Please note: This position requires a year-round commitment, including both the regular school year and our summer session. We do not offer summer-only employment. Requirements Greet, screen, and direct visitors to ensure a safe and secure school environment Answer and route incoming phone calls and respond to routine inquiries Accept and distribute mail, packages, and deliveries Maintain organization of the mailroom and ensure office forms are stocked Collect Attendance, make calls to parents regarding student absences, and enter absence data into the database Collaborate with administration to ensure Main Office coverage when needed Immediately report student safety concerns or staff misconduct to administration Enter initial student referral information into the intake database Proof and prepare intake packets and student binders Upload referral materials to secure electronic systems Scan, fax, and file admissions-related documentation Archive completed intake folders according to policy Collaborate with HR to maintain accurate staff calendars Assist in creating and distributing school-wide event flyers Ensure timely communication with families, staff, and transportation partners Demonstrate cultural sensitivity and professionalism in all interactions Support filing of behavioral incident reports as needed Serve as backup for restraint/seclusion data entry when required Accurately log documentation and ensure timely submission Support Solterra Academy's mission, vision, and values Adhere to all school policies and state/federal regulations Requirements High School Diploma or GED required Associate's or Bachelor's degree preferred 2-3 years of relevant administrative or receptionist experience Proficiency in Microsoft Word, Outlook, and Excel required Experience in a school or special education setting preferred
