Job Summary We are seeking a dynamic and organized Front Desk Coordinator to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management functions. Your energetic approach and attention to detail will ensure smooth daily operations, creating a positive experience for visitors, clients, and team members alike. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle scheduling tasks such as calendar management and appointment setting with precision and timeliness Maintain organized filing systems, data entry records, and ensure accurate document proofreading Support office management activities including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Assist with clerical duties such as typing correspondence, managing customer support inquiries, and supporting administrative projects Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports, presentations, and correspondence Requirements Proven office experience with strong organizational skills and attention to detail Excellent communication skills in English; bilingual abilities are a plus for serving diverse clients Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools Experience with multi-line phone systems and phone etiquette is essential Familiarity with office management tasks such as filing, proofreading, calendar management, and record keeping Previous experience in customer service or as a receptionist in medical or dental settings is highly desirable Ability to manage time effectively while handling multiple priorities in a fast-paced environment Personal assistant or administrative experience that demonstrates strong organizational and multitasking abilities Join us as a Front Desk Coordinator where your proactive attitude will help create a welcoming atmosphere while supporting the efficient operation of our office.
