This role is critical to maintaining workflow efficiency, ensuring client satisfaction, and supporting internal teams with administrative and coordination tasks. The ideal candidate thrives in a fast-paced environment, communicates effectively, and takes initiative to solve problems. Key ResponsibilitiesFront Desk & Client Relations Answer and direct incoming phone calls in a professional and timely manner Greet clients, partners, and vendors; provide a welcoming office experience Manage incoming and outgoing mail, packages, and office communications Maintain a clean, organized, and professional front office environment Title & Transaction Support Assist with opening and processing title orders Coordinate with title processors to gather required documentation Communicate with clients, lenders, and agents regarding file status Ensure files are properly documented and updated in internal systems Construction Administration Support Assist with tracking permitting status and following up with municipalities Coordinate with contractors, vendors, and internal team members Gather and organize estimates, bids, and project documentation Maintain project files and ensure timelines and tasks are being followed Administrative & Operational Support Schedule appointments, meetings, and internal check-ins Track tasks and follow up to ensure completion across departments Assist with data entry, reporting, and document management Support leadership and team members with day-to-day administrative needs Qualifications 2+ years of administrative, receptionist, or office coordination experience Strong communication skills (phone, email, and in-person) Highly organized with strong attention to detail Ability to multitask and prioritize in a fast-paced environment Proficient in Microsoft Office / Google Workspace (CRM experience a plus) Experience in real estate, title, or construction is a strong plus Key Traits for Success Proactive and resourceful problem solver Professional and client-focused demeanor Strong sense of urgency and accountability Ability to follow systems and improve processes Team player who can work across multiple departments Compensation & Growth Competitive salary based on experience Opportunity for growth into title processing, operations, or project coordination roles Exposure to real estate, construction, and investment operations
