Job Summary We are seeking a dynamic and friendly Front Desk Agent to serve as the welcoming face of a luxury condo. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your energetic approach and organizational skills will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily operations in a fast-paced environment. Duties Greet visitors, clients, and staff with enthusiasm and professionalism, creating a welcoming atmosphere. Manage multi-line phone systems to handle inquiries efficiently and direct calls appropriately. Maintain accurate records through data entry, filing, and proofreading to support administrative functions. Utilize office management software such as Microsoft Office and Google Workspace to prepare documents, schedules, and correspondence. Assist with calendar management and appointment scheduling to ensure timely meetings and events. Handle clerical tasks including photocopying, faxing, mailing, and organizing files for easy retrieval. Support customer service efforts by addressing inquiries promptly and providing helpful information or assistance. Perform basic bookkeeping tasks using QuickBooks or similar tools to track expenses and invoices when needed. Maintain a tidy reception area, ensuring supplies are stocked and the environment is professional at all times. Demonstrate excellent phone etiquette while managing inquiries via phone or email with clarity and courtesy. Skills Proven experience in office management or administrative support roles with strong organizational skills. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools. Familiarity with multi-line phone systems, clerical procedures, and office equipment operation. Bilingual abilities are highly valued to assist diverse client needs effectively. Exceptional customer service skills coupled with professional phone etiquette. Strong typing skills with attention to detail for proofreading and document accuracy. Ability to prioritize tasks efficiently using time management techniques in a fast-paced setting. Experience in medical or dental receptionist roles is a plus but not required; relevant personal assistant experience is beneficial. Knowledge of bookkeeping practices using QuickBooks or similar software enhances your candidacy. Demonstrated ability to support office operations through excellent organizational skills and proactive problem-solving.
