This vital role serves as the first point of contact for visitors, clients, and staff, ensuring a warm, professional, and efficient front desk experience. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a proactive attitude to support seamless office operations. Duties Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette Handle incoming correspondence, emails, and inquiries with promptness and professionalism Maintain organized front desk area, including filing, data entry, and updating records using Microsoft Office and Google Workspace tools Schedule appointments, manage calendars, and coordinate meetings for staff or management as needed Assist with office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and document proofreading Support administrative functions including data entry, filing, and maintaining office records with attention to detail Skills Proven experience in office management or administrative support roles with clerical experience preferred Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Exceptional phone etiquette with experience managing multi-line phone systems and providing customer support Bilingual abilities are highly desirable to serve diverse client needs effectively Knowledge of QuickBooks or bookkeeping is a plus for handling basic financial tasks Experience as a dental or medical receptionist is advantageous for understanding specialized front desk procedures Personal assistant or calendar management experience helps streamline scheduling processes Ability to perform typing quickly and accurately while maintaining high attention to detail for proofreading documents Strong time management skills to prioritize tasks effectively throughout the workday Join us as our Hiring Receptionist and be the friendly face that keeps our office running smoothly!
