Job Description
Description We are looking for an experienced and detail-oriented Receptionist to support a luxury real estate sales environment in Boca Raton, Florida. This Contract position is ideal for someone who presents confidently, stays highly organized, and can provide seamless front-desk and administrative assistance during scheduled client appointments. The role will work closely with sales executives, help maintain accurate client records, and contribute to a refined experience that reflects a high-end property brand.
Responsibilities:
- Welcome scheduled visitors in a courteous manner and help create a welcoming arrival experience for prospective buyers and guests.
- Support sales executives with day-to-day administrative needs, including coordinating appointment-related tasks and general team assistance.
- Register client information accurately and ensure all details are entered into internal records with strong attention to detail.
- Maintain clear and timely documentation of client interactions, notes, and follow-up information for the sales team.
- Assist with updating sales activity and appointment notes in company systems to keep records current and organized.
- Manage incoming phone calls through a multi-line system, directing inquiries appropriately and handling messages efficiently.
- Provide front-desk coverage during weekend business hours and arrive ahead of scheduled opening time to ensure readiness for the day.
- Respond courteously to occasional guest and client questions while supporting a by-appointment-only sales setting. Requirements
- Previous experience in a receptionist, front-desk, or customer-facing administrative role.
- Ability to manage inbound calls and operate a multi-line phone or switchboard system effectively.
- Strong verbal communication skills and a detail-oriented approach to presentation.
- High level of accuracy when entering client information and maintaining written notes.
- Comfortable supporting a sales-focused team in a luxury or high-touch service environment.
- Availability to work Saturdays and Sundays in a part-time schedule.
- Reliable time management skills, including the ability to arrive before the start of scheduled hours and be fully prepared to begin work.
