Job Description

Overview EMDR Trauma Therapy Center is seeking a professional, detail-oriented, and compassionate Front Desk Receptionist to join our Fleming Island team. This role is an important part of our daily operations and helps create a welcoming, organized, and supportive experience for clients, providers, and staff. The ideal candidate will have previous front desk experience in a medical, behavioral health, or therapy office setting and be comfortable handling scheduling, client communication, insurance verification, payments, and general administrative duties in a fast-paced office environment. We are looking for someone who is not only qualified for the position, but who is also seeking long-term employment and wants to grow with our expanding practice.
Responsibilities include:
Greet and check in clients in a professional and welcoming manner Answer incoming calls, return messages, and assist with client inquiries Schedule, confirm, and manage client appointments using our electronic scheduling system Coordinate with providers and management to support accurate scheduling and daily office flow Collect and update client paperwork, demographics, and insurance information Verify insurance eligibility and benefits for behavioral health services Collect copays, balances, and other client payments at the time of service Maintain accurate electronic health records and client information Communicate professionally with clients regarding scheduling, billing, and insurance questions Follow HIPAA guidelines and maintain client confidentiality at all times Assist the Clinical Director, management, providers, and administrative team as needed Support general office duties and help maintain a clean, calm, and welcoming environment
Qualifications:
Previous experience in a medical, behavioral health, or therapy office front desk role required Minimum of 2 years of medical office experience preferred Experience with insurance verification, scheduling, and payment collection preferred Strong communication and customer service skills Professional, caring, and calm demeanor Excellent organizational skills and strong attention to detail Ability to prioritize tasks and work efficiently in a busy office setting Knowledge of HIPAA, confidentiality, and medical records procedures Proficiency with Microsoft Office, including Word and Excel Comfortable learning and using electronic health record systems and office technology High school diploma required; associate degree, current degree program, or certification preferred Must have reliable transportation Must be able to work independently and take initiative Must have flexibility with scheduling and daily office needs Must be interested in growing with a growing practice Ability to adapt as the practice continues to expand and evolve Must be able to pass a background check Examples of disqualifying background check results may include, but are not limited to: sexual misconduct, violent crimes, burglary, abuse of a child, elderly person, patient, or disabled person, current probation status, or other offenses that may impact the safety and trust required in a healthcare setting.
