Job Description

Job Overview We are seeking a dynamic and friendly Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and professionalism will ensure smooth daily operations and a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your office management expertise while supporting various administrative functions. Responsibilities Greet visitors warmly and direct them appropriately, ensuring a professional and inviting environment Manage multi-line phone systems, screen calls, and relay messages promptly and accurately Maintain organized filing systems, data entry records, and ensure documents are properly proofread and filed Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings Handle clerical duties including typing correspondence, proofreading documents, and managing incoming/outgoing mail Utilize computer skills across Microsoft Office Suite, Google Workspace, and other office software to support daily operations Provide customer support by addressing inquiries efficiently and maintaining excellent phone etiquette Assist with bookkeeping tasks using QuickBooks or similar accounting software when necessary Skills Proven experience in office management or administrative support roles with strong organizational skills Excellent communication skills in both English and bilingual capabilities (if applicable) Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, data entry, and filing systems Familiarity with front desk operations, multi-line phone systems, and customer service best practices Strong attention to detail for proofreading, data accuracy, and document management Ability to prioritize tasks effectively using time management techniques in a fast-paced environment Experience in medical or dental receptionist roles is a plus but not required; relevant personal assistant experience is valuable too Knowledge of bookkeeping processes using QuickBooks or similar software is advantageous Demonstrated professionalism in phone etiquette and customer support interactions Join us to be part of a vibrant team dedicated to creating a welcoming atmosphere while supporting the efficient functioning of our organization.
