Job Description

Veterinary Client Service Representative Pay Range:
$17.00-$22.00 per hour, depending on experience and qualifications Position Summary Animal Ortho Clinic is seeking a full-time Client Service Representative (CSR) to join our specialty veterinary team. The CSR serves as the primary point of contact for clients, referring veterinarians, and patients through in-person, telephone, and electronic communications. As the first impression of our practice, the CSR plays a critical role in creating an exceptional client experience through professionalism, compassion, strong communication skills, and attention to detail. This position requires the ability to manage multiple priorities while supporting clients whose pets are often experiencing significant orthopedic conditions. Responsibilities include scheduling appointments, maintaining accurate medical records, processing financial transactions, coordinating communication with referring veterinary practices, and supporting the veterinary team to ensure efficient patient care and client service.
Schedule:
Four 10-hour shifts per week between Monday and Friday, 7:00 a.m. and 6:00 p.m., with a one-hour unpaid lunch break. Alternative schedules can be discussed for qualified candidates who prefer shorter workdays. Being able to arrive as early as 7am is a requirement for the position. Ensure appointments run smoothly by collaborating with the medical team and proactively communicating with clients throughout their visit. Verify and maintain accurate client, patient, and referring veterinarian information. Ensure records, reports, and hospital communications are sent to referring veterinarians in a timely manner. Audit medical records for completeness and accuracy. Schedule appointments and obtain all required forms, consents, and signatures. Document all client communications, including phone calls, emails, text messages, and in-person interactions. Process requests for medical records and diagnostic information in accordance with hospital policies. Answer incoming phone calls promptly, professionally, and with a positive customer-service mindset. Educate clients, referring veterinarians, and the public regarding consultations, diagnostic imaging, surgical procedures, and other services offered by the practice. Accurately process payments including cash, credit cards, checks, and CareCredit transactions. Maintain confidentiality of client and patient information. Assist with administrative tasks including scanning, faxing, filing, and data entry. Contribute to a positive team environment by assisting with stocking, organization, and cleanliness throughout the hospital. Perform other duties as assigned to support hospital operations. Physical Requirements Ability to sit, stand, and move throughout the workday. Ability to occasionally lift and carry up to 40 pounds. Ability to use computers, telephones, and standard office equipment for extended periods. QualificationsRequired High school diploma or equivalent. Minimum of two years of veterinary client service, veterinary reception, or veterinary administrative experience. Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Ability to multitask and remain composed in a fast-paced environment. Proficiency with computers and electronic medical records. Preferred Specialty or emergency veterinary hospital experience. Associate's degree or relevant college coursework. Experience coordinating patient care between specialty hospitals and referring veterinary practices. Experience with veterinary practice management software. Appropriate college coursework or vocational/technical training may substitute for required experience on an equivalent basis.
