Job Summary:
We are seeking a dynamic and organized Receptionist to be the welcoming face of our organization. This energetic role involves managing front desk operations, providing exceptional customer service, and supporting office management functions. The ideal candidate will be a proactive communicator with strong organizational skills, capable of handling multiple responsibilities with enthusiasm and professionalism. As a key point of contact, you will ensure smooth daily operations and create a positive experience for visitors, clients, and team members alike.
Duties:
Greet visitors, clients, and vendors warmly and professionally, ensuring they feel valued and attended to promptly. Manage multi-line phone systems with excellent phone etiquette, directing calls efficiently and taking detailed messages when necessary. Maintain the front desk area, ensuring it is tidy, organized, and welcoming at all times. Handle data entry tasks such as filing, proofreading documents, and updating records using Microsoft Office and Google Workspace tools. Support office management activities including calendar management, appointment scheduling, and basic bookkeeping using Outlook, Zoom, and FileVine. Assist with clerical duties such as photocopying, faxing, mailing correspondence, and maintaining organized filing systems. Provide customer support by addressing inquiries accurately and courteously while ensuring confidentiality and professionalism. Manage office supplies inventory and coordinate with vendors for procurement needs. Support administrative tasks related to office operations, including proofing documents and managing time-sensitive projects to ensure deadlines are met.
Qualifications:
Proven experience in office administration or clerical roles with excellent organizational skills. Must be present in the office Monday-Friday. Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and familiarity with data entry software like QuickBooks. Exceptional customer service skills combined with professional phone etiquette for handling multi-line phone systems effectively. Bilingual abilities are highly desirable to serve diverse client needs effectively. Demonstrated ability to manage multiple tasks efficiently while maintaining attention to detail through typing accuracy and proofreading skills. Excellent time management skills to prioritize responsibilities in a fast-paced environment.
Pay:
$20.00 - $35.00 per hour
