We are seeking a highly organized and personable Bilingual Front Desk Representative to be the welcoming face of our company. This pivotal role combines administrative excellence with exceptional customer service, ensuring smooth daily operations at our main entrance.
Key Responsibilities:
Greet and warmly welcome visitors, creating a professional and inviting atmosphere. Maintain a tidy, well-stocked front desk area, ensuring all materials (pens, forms, paper, brochures) are readily available. Answer and direct all incoming calls promptly, taking thorough messages when necessary. Respond to visitor inquiries and address concerns courteously, providing accurate information or escalating as needed. Receive, sort, and distribute mail and packages efficiently. Prepare outgoing correspondence, parcels, and manage courier arrangements. Monitor and manage office supplies, placing orders as required to maintain inventory. Manage emails, checking and organizing correspondence for staff. Maintain and update records and files diligently. Assist with various administrative duties, including scheduling, travel arrangements, and calendar management. Collaborate with team members to support office operations and enhance customer experience.
Qualifications:
Minimum 1 year of experience in a front desk, receptionist, or relevant customer service role. Bilingual fluency in English and Spanish is essential. Proficiency with office equipment such as fax machines, printers, and scanners. Skilled in MS Office Suite, particularly Word and Excel. Excellent organizational skills and ability to multi-task in a fast-paced environment. Strong problem-solving abilities and a solution-oriented mindset.
