Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Answer multi-line phone systems efficiently, directing calls accurately and courteously Manage appointment scheduling and calendar management using various digital tools Handle data entry, filing, and document proofreading with precision to maintain organized records Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Assist with customer support by addressing inquiries via phone or email with professionalism and clarity Maintain a tidy front desk area, ensuring all office supplies are stocked and equipment is functioning properly Qualifications Proven experience in office administration, clerical work, or as a receptionist in a fast-paced environment Strong computer skills including proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to multitask efficiently and prioritize tasks effectively Bilingual abilities are highly desirable to serve diverse client needs Demonstrated customer service skills with excellent phone etiquette and interpersonal communication Familiarity with office management software such as QuickBooks or similar bookkeeping programs is a plus Ability to type quickly and accurately while maintaining attention to detail Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required Join our team where your proactive attitude and organizational talents will make a meaningful impact every day!
