In this vital role, you will be the first point of contact for visitors and clients, managing front desk operations with enthusiasm and professionalism. Your multitasking abilities and attention to detail will ensure smooth daily operations, supporting office management and delivering exceptional customer service. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a positive workplace atmosphere. Duties Greet visitors warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems with professionalism, directing calls accurately and courteously Handle incoming correspondence, emails, and inquiries with efficiency and clarity Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools Assist with clerical duties including photocopying, faxing, mailing, and inventory management of office supplies Provide customer support by addressing inquiries, offering information, and ensuring a positive experience for all clients and visitors Qualifications Proven experience in office management or administrative roles, preferably in a medical or dental setting Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Excellent phone etiquette with experience managing multi-line phone systems Bilingual abilities are highly desirable to serve diverse client needs effectively Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively Clerical experience including filing, proofreading, and document management Personal assistant or medical receptionist experience is a plus but not required; training will be provided for specific responsibilities such as calendar management and bookkeeping Knowledge of office equipment operation including printers, scanners, and fax machines Join us in creating a vibrant workplace where your proactive approach makes a real difference!
