In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring smooth daily operations at the front desk. Your positive attitude, excellent organizational skills, and ability to manage multiple tasks efficiently will contribute to creating a professional and friendly environment. Responsibilities Greet visitors and clients warmly, providing excellent customer support and assistance Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette Handle appointment scheduling, calendar management, and coordinate meetings for staff or practitioners Perform data entry, maintain filing systems, and ensure all records are accurate and up-to-date Operate office equipment such as printers, fax machines, and computers with proficiency in Microsoft Office and Google Workspace Support office management tasks including supply inventory, basic bookkeeping with QuickBooks, and document proofreading Maintain a clean and organized reception area while managing incoming correspondence and emails Requirements Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively Bilingual abilities are highly desirable to assist diverse client needs Exceptional phone etiquette skills with experience handling multi-line phone systems and customer support calls Prior experience in medical or dental reception is a plus but not required; familiarity with medical or dental office procedures is beneficial Demonstrated ability to perform data entry accurately while maintaining attention to detail and proofreading skills Personal assistant or administrative experience that includes calendar management is advantageous Ability to manage time efficiently in a busy environment while maintaining professionalism Join us in delivering outstanding service while developing your administrative expertise!
