In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your proactive approach will ensure smooth office management, efficient communication, and a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative skills in a dynamic environment. Important Schedule Requirement This is a strict weekend position , and applicants must be available to work the following schedule consistently:
Friday:
9:00 AM•8:00
PM Saturday:
9:00 AM•5:00
PM Sunday:
9:00 AM•2:00 PM Please apply only if you are able to commit to these specific days and hours. No additional days or alternative schedules are available. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems with professionalism, directing calls accurately and courteously Handle scheduling, calendar management, and appointment setting using Microsoft Office and Google Workspace tools Perform data entry, filing, and maintain organized records to support office operations Assist with basic bookkeeping tasks using QuickBooks or similar accounting software when needed Support office management tasks such as supply inventory, mail distribution, and document proofreading Provide excellent customer support by addressing inquiries efficiently and maintaining high phone etiquette standards Assist clients with booking, rescheduling, and managing appointments through Mindbody software Qualifications Proven office experience or clerical experience demonstrating organizational skills and attention to detail Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry skills Experience with multi-line phone systems and excellent phone etiquette skills Bilingual abilities are highly desirable to serve diverse client needs effectively Knowledge of QuickBooks or bookkeeping experience is a plus Experience with Mindbody software is a plus Exceptional organizational skills with the ability to prioritize tasks and manage time effectively Personal assistant or medical/dental receptionist experience is advantageous but not required Ability to proofread documents accurately and maintain confidentiality in handling sensitive information Why Join Us?
