Job Summary We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this pivotal role, you will manage front desk operations, provide exceptional customer service, and ensure smooth office functioning. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette. Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy. Maintain appointment calendars, schedule meetings, and coordinate office events or appointments using calendar management tools. Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records. Utilize Microsoft Office Suite and Google Workspace to prepare reports, spreadsheets, and presentations as needed. Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and general clerical duties to keep the office running smoothly. Assist with customer support by addressing inquiries promptly and professionally in person or via phone or email. Maintain a clean, organized reception area that reflects professionalism at all times. Experience Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail. Proven customer service skills with the ability to handle multiple tasks efficiently in a fast-paced environment. Familiarity with multi-line phone systems, data entry, filing systems, and basic bookkeeping tools like QuickBooks. Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and general computer literacy. Must be bilingual Experience in medical receptionist roles Excellent time management skills with the ability to prioritize tasks effectively while maintaining professionalism under pressure. Knowledge of office management best practices combined with strong typing skills and attention to detail for proofreading documents.
