Job Description
Overview We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience from the moment they arrive. Your energetic approach and excellent organizational skills will help maintain smooth office operations, manage multi-line phone systems, and support various administrative functions. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a vibrant team environment. Responsibilities Greet visitors warmly, assist with check-in procedures, and direct them appropriately. Manage multi-line phone systems with professionalism, answering inquiries and routing calls efficiently. Maintain a clean and organized reception area to create a welcoming atmosphere. Handle incoming and outgoing correspondence, including emails, mail, and packages. Support office management tasks such as scheduling appointments, calendar management, and data entry. Utilize computer skills including Microsoft Office, Google Workspace, and QuickBooks for administrative tasks. Perform clerical duties such as filing, proofreading documents, and maintaining accurate records. Provide exceptional customer support by addressing inquiries promptly and courteously. Assist with basic bookkeeping tasks and office supply inventory management. Support additional administrative projects as needed to ensure seamless office operations. Qualifications Proven office experience with strong organizational skills and attention to detail. Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools. Experience with multi-line phone systems and phone etiquette is essential. Bilingual abilities are highly desirable to serve diverse client needs effectively. Prior clerical or administrative experience in a professional setting is preferred. Strong customer service skills with a friendly demeanor and professional communication style. Ability to manage time effectively while handling multiple priorities in a fast-paced environment. Knowledge of office management software such as QuickBooks or bookkeeping tools is a plus. Experience in medical or dental receptionist roles or personal assistant positions will be considered advantageous.
