Job Description

Overview We are seeking a highly organized and professional Receptionist/Secretary to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role involves handling incoming calls and messages, scheduling jobs, providing customer service, and assisting with social media advertising. If you're a multitasker with a friendly attitude and strong communication skills, this is a great opportunity to join a fast-paced, service-driven environment. Responsibilities Manage multi-line phone systems, directing calls appropriately and taking messages as needed. Perform data entry, filing, and clerical duties to maintain organized office records. Schedule appointments and manage calendars for staff members. Provide customer support by addressing inquiries and resolving issues promptly. Maintain office supplies inventory and place orders as necessary. Assist with proofreading documents to ensure accuracy and professionalism. Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations. Support office management tasks including organizing meetings and maintaining a clean front desk area. Schedule and dispatch service appointments using scheduling software or logs Maintain and update the daily/weekly calendar in real time Provide prompt and professional customer service Assist in creating and posting content on company social media accounts Monitor social media messages and respond to inquiries Keep accurate records of client communications and appointments
Requirements:
Must be able to work on-site in our Miami office Strong verbal and written communication skills Customer service experience preferred Familiar with scheduling tools (Google Calendar, Square Appointments, etc.) Comfortable using social media platforms like Instagram & Facebook Basic computer skills and ability to multitask efficiently Prior experience in dispatching or service-based scheduling is a plus Reliable, punctual, and able to work independently
