We provide personalized, compassionate, and thorough legal representation in immigration, visa, citizenship, and deportation matters. We are currently seeking a warm, energetic, professional, and highly organized Bilingual Legal Receptionist to join our team. As the first point of contact for prospective and existing clients, this position plays a critical role in creating an exceptional client experience. The ideal candidate enjoys working with people, thrives in a fast-paced environment, can effectively multitask, and is passionate about helping immigrants and their families. Language Requirements Fluent in spoken and written English and Spanish (required) Position Overview The Bilingual Legal Receptionist serves as the face and voice of the firm. This position requires exceptional customer service skills, professionalism, strong organizational abilities, and the ability to manage multiple responsibilities simultaneously while maintaining accuracy and attention to detail. The successful candidate must be able to multitask effectively, prioritize competing responsibilities, adapt to changing demands throughout the day, and maintain a positive attitude in a high-volume immigration law practice. Primary ResponsibilitiesClient Communication & Reception Answer and direct incoming phone calls professionally and efficiently. Respond to general inquiries regarding the firm's services. Provide updates to clients regarding the status of their pending cases. Greet clients, visitors, vendors, and other guests in a welcoming and professional manner. Build rapport with prospective and existing clients, making them feel comfortable, respected, and valued. Effectively communicate the firm's values and services to prospective clients. Help convert inquiries into scheduled consultations. Maintain a positive, professional, and service-oriented attitude during all client interactions. Scheduling & Administrative Support Manage attorney calendars and schedules. Schedule and confirm consultations, attorney meetings, immigration interviews, court hearings, and filing deadlines. Draft, send, track, and follow up on contracts for new clients. Maintain and organize intake forms and client records. Create and maintain physical and electronic client files. Perform data entry, scanning, filing, and document management. Ensure the reception area and office spaces remain clean, organized, and professional. Client Intake & Financial Responsibilities Maintain referral and lead tracking systems. Process payments received by phone and in person. Establish payment plans and follow up regarding missed payments. Maintain accurate payment records for accounting purposes. Coordinate with the managing attorney and bookkeeper regarding payment-related matters. Team Collaboration Communicate effectively with attorneys, paralegals, and staff members. Assist with general office operations and administrative projects. Maintain strict confidentiality regarding client information, immigration status, and legal matters. Effectively manage multiple tasks, interruptions, and competing priorities throughout the workday. Secondary Responsibilities In addition to reception and intake duties, the Legal Receptionist may assist attorneys and paralegals with administrative and case-support tasks, including: Preparing change of address forms with USCIS and Immigration Court. Drafting basic correspondence and template letters under attorney supervision. Organizing and indexing supporting evidence for immigration filings. Following up with clients regarding requested documentation. Assisting with special projects and administrative tasks as assigned. QualificationsRequired Minimum of two (2) years of receptionist experience. Fluency in English and Spanish (written and spoken). High school diploma or equivalent. Strong verbal and written communication skills. Excellent customer service and interpersonal skills. Demonstrated ability to multitask effectively in a fast-paced professional environment. Ability to prioritize competing deadlines and responsibilities with minimal supervision. Strong organizational skills and attention to detail. Ability to manage frequent interruptions while maintaining professionalism and accuracy. Professional appearance and demeanor. Ability to maintain confidentiality and handle sensitive information. Preferred Experience working in an immigration law firm, law firm, or professional office environment. Associate degree, legal secretary certification, or related education. Experience with legal case management software. Proficiency in Microsoft Word, Excel, Outlook, Adobe Acrobat, and cloud-based office systems. Compensation $18.00 - $20.00 per hour , depending on experience. Schedule Full-Time, In-Person Monday through Thursday 8:00 a.m. - 6:00 p.m. Enjoy every Friday off!
