Job Description

Job Summary We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and office management experience will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative expertise in a dynamic environment. Duties Greet and assist visitors, clients, and vendors with professionalism and warmth Answer and direct incoming calls using multi-line phone systems with excellent phone etiquette Manage appointment scheduling, calendar coordination, and office appointments efficiently Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software Handle basic bookkeeping tasks such as invoicing and tracking payments using QuickBooks or similar tools Support office management activities including supply ordering, mail distribution, and maintaining a tidy reception area Proofread correspondence and documents to ensure accuracy and professionalism Provide customer support by addressing inquiries promptly and courteously Assist with clerical tasks such as photocopying, scanning, and document organization Maintain confidentiality of sensitive information while managing daily administrative functions Skills Proven experience in office management or administrative support roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with QuickBooks or bookkeeping software for basic financial tasks Excellent computer literacy including data entry, typing speed, and troubleshooting common office technology Exceptional customer service skills combined with professional phone etiquette Ability to handle multi-line phone systems efficiently while maintaining composure under pressure Bilingual abilities are a plus to serve diverse client needs effectively Strong attention to detail for proofreading documents and managing records accurately Time management skills to prioritize tasks effectively in a fast-paced environment Experience as a dental or medical receptionist is advantageous but not required; personal assistant experience is also valuable Join us as a Front Desk Receptionist to be the friendly face that keeps our office running smoothly!
