Responsibilities Greet visitors warmly and professionally, ensuring a positive first impression for everyone entering the office. Manage multi-line phone systems, directing calls accurately and courteously to appropriate departments or personnel. Handle incoming and outgoing correspondence, including emails, mail, and packages, with attention to detail. Maintain organized filing systems, data entry records, and document proofreading to support administrative workflows. Assist with calendar management, scheduling appointments, meetings, and coordinating events as needed. Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks or similar software, and maintaining office equipment. Provide excellent customer support by addressing inquiries promptly and professionally in person or over the phone. Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and other relevant platforms to streamline daily operations. Qualifications Proven experience in an office environment or clerical role with strong organizational skills. Excellent phone etiquette and customer service skills to handle diverse interactions confidently. Proficiency in computer literacy, including Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping software like QuickBooks. Bilingual abilities are a plus to serve a diverse clientele effectively. Strong typing skills with attention to accuracy; ability to proofread documents thoroughly. Experience with multi-line phone systems and office management tasks preferred. Demonstrated ability to prioritize tasks efficiently using time management techniques in a fast-paced setting. Previous experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental receptionist duties is a bonus.
