Duties Greet visitors, clients, and staff with enthusiasm and professionalism, creating a welcoming atmosphere Manage multi-line phone systems, directing calls accurately and courteously Handle incoming correspondence, emails, and inquiries promptly and efficiently Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff members Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize office software such as Microsoft Office and Google Workspace for various administrative tasks Provide exceptional customer support by addressing questions or concerns with patience and clarity Assist with clerical duties such as copying, scanning, and organizing documents Maintain a clean and orderly front desk area to uphold a professional environment Skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Strong organizational skills with the ability to prioritize tasks effectively Exceptional phone etiquette skills for handling multi-line phone systems confidently Bilingual abilities are highly desirable to serve diverse client needs effectively Previous office experience or administrative experience preferred to ensure smooth workflow management Familiarity with office management software such as QuickBooks for bookkeeping purposes Strong typing skills for efficient data entry and documentation tasks Attention to detail for proofreading documents and maintaining accurate records Excellent customer service skills with a friendly demeanor and professional attitude Time management skills to handle multiple responsibilities efficiently in a fast-paced environment Experience as a medical receptionist is a plus, especially if familiar with appointment scheduling and patient communication This role is an excellent stepping stone for individuals eager to grow their administrative expertise within a vibrant team.
