Job Description

Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team at a small, high-end, top-technology fabrication shop! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, both bilingual and monolingual candidates are encouraged to apply. You will serve as the first point of contact for visitors and callers, manage office tasks efficiently, and support various administrative functions to keep our workplace running seamlessly. This paid position offers a fantastic opportunity to develop your office management skills while contributing to a vibrant team environment. Duties Greet visitors warmly, answer multi-line phone systems professionally, and direct calls accurately using phone etiquette. Manage front desk operations, including checking in visitors, handling mail, and maintaining a welcoming reception area. Perform data entry and filing tasks with precision using Microsoft Office, Google Workspace, and other office software. Support office management activities such as production scheduling, calendar management, appointment scheduling, and coordinating meetings. Assist with clerical duties including proofreading documents, managing invoices with QuickBooks, and maintaining organized records. Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs. Handle basic bookkeeping tasks like tracking expenses and maintaining financial records as needed. Support Operation Manager with assigned tasks and project completion as directed. Experience Proven office experience or administrative support background in a fast-paced environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools. Experience managing multi-line phone systems and demonstrating excellent phone etiquette. Bilingual abilities are highly valued to effectively communicate with diverse clients and team members. Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively. Clerical experience including data entry, filing, proofreading, and document management. Prior experience in customer service or customer support roles is necessary; familiarity with fabrication/installation receptionist duties is a plus.
