Job Description

Job Overview We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management experience will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative expertise in a fast-paced environment. Responsibilities Greet visitors professionally and direct them appropriately, ensuring a warm and welcoming atmosphere. Manage multi-line phone systems with excellent phone etiquette, screening calls and forwarding messages accurately. Handle scheduling tasks such as calendar management and appointment setting using Google Workspace or Microsoft Office tools. Perform clerical duties including data entry, filing, proofreading, and maintaining organized records. Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software. Assist with customer support by answering inquiries promptly and providing helpful information. Maintain a tidy reception area, ensuring all office supplies are stocked and equipment is functioning properly. Qualifications Proven experience in office management, clerical work, or as a receptionist in a busy environment. Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic data entry. Excellent organizational skills with the ability to multitask efficiently and prioritize tasks effectively. Bilingual abilities are highly desirable to serve diverse client needs. Demonstrated customer service skills with professional phone etiquette and interpersonal communication. Experience with front desk operations in medical or dental settings is a plus but not required. Knowledge of office equipment such as multi-line phones, printers, and scanners; familiarity with bookkeeping or personal assistant tasks is advantageous.
