Lead Overnight Emergency Veterinary Receptionist :
Essential Duties & Responsibilities:

  • Provide direct supervision and guidance to Client Care Representatives during overnight shifts.
  • Support the Client Care Manager in scheduling and maintaining 7-day/week leadership coverage.
  • Train and mentor team members to enhance service quality, efficiency, and communication.
  • Conduct and monitor training for new and existing staff; ensure standards are met.
  • Deliver coaching, recognition, and corrective feedback; assist in performance management.
  • Coordinate and conduct Client Care team meetings; ensure accountability for action items.
  • Motivate and inspire the team to deliver high-quality service. Client Service & Hospitality
  • Greet clients and patients warmly upon arrival and provide an exceptional first impression.
  • Manage appointment check-ins and ensure all required forms and information are complete.
  • Communicate wait times and ensure clients are comfortable during their visit.
  • Assist clients with questions regarding hospital services, products, and general pet care.
  • Facilitate client check-out, payment processing, and scheduling of follow-up appointments.
  • Meet with clients to address service concerns and facilitate resolutions that exceed expectations.
  • Obtain client signatures on estimates and permission for procedures.
  • Facilitate client check-out, payment processing, and scheduling of follow-up appointments.
  • Handle deceased patient after life care & cremation services. Exam Room & Patient Flow Support
  • Escort clients and patients to exam rooms; assist with safely loading/unloading pets.
  • Prepare and clean exam rooms before and after each appointment.
  • Restock exam rooms with supplies as needed.
  • Ensure efficient communication between Client Care and other departments to support patient flow. Administrative Support
  • Answer multi-line phones, respond to voicemails, and triage client inquiries.
  • Maintain accurate and detailed records in the hospital management system.
  • Support the team with administrative projects and client communications.
  • Document and communicate changes to workflows, protocols, or policies.
  • Maintain timely and accurate evaluations for Client Care staff during probationary and annual review periods. Team & Culture Development
  • Model professional behavior and ensure all team members follow hospital standards of conduct.
  • Provide conflict resolution support in coordination with Human Resources.
  • Actively contribute to a positive, collaborative, and supportive hospital culture.
  • Participate in hospital leadership discussions and offer process improvement ideas.
  • Demonstrate flexibility and a willingness to assist other departments or team members. Other Duties
  • Complete additional duties as assigned to support hospital operations and client satisfaction. Qualifications & Skills
  • Minimum of 1 year experience in a busy veterinary practice required.
  • High school diploma or equivalent required.
  • In-depth knowledge of Client Care workflows and hospital operations.
  • Strong leadership, communication, and organizational skills.
  • Ability to coach, mentor, and motivate a team in a fast-paced environment.
  • Professional, dependable, and approachable demeanor with conflict-resolution abilities.
  • Comfortable leading a team and collaborating with doctors, clinical staff, and department leads.
  • Strong problem-solving and decision-making skills under pressure.
  • Proficiency in computer systems and willingness to learn veterinary practice software.
  • Compassionate, patient, and empathetic approach to working with clients and animals. Schedule Requirements
  • Overnight shifts required.
  • Weekend and holiday availability required.
  • Flexibility to support varying hospital needs.
  • May include 8-hour, 10-hour, or 12-hour shifts. Physical & Environmental Requirements
  • Ability to lift and carry animals and supplies up to 40 lbs. unassisted.
  • Frequent standing, walking, bending, stooping, kneeling, reaching, and crouching.
  • Prolonged periods of sitting and computer use.
  • Exposure to animal odors, hair, dander, and bodily fluids.
  • Exposure to cleaning chemicals and disinfectants.
  • Ability to work in a noisy environment with barking dogs, meowing cats, and equipment sounds.
  • Must be able to safely handle animals and remain calm and professional in stressful situations.
Shift Differential:
$3.00 per hour
  • We are a new hospital, building our team from the ground up so patience and communication is key!
Our Practice :
ACCESS, brings expertise developed within our network of multi-specialty practices located in California to our newest hospital in Florida. ACCESS will provide 24/7 ER and specialty care to the surrounding communities. Our departments will have a busy and varied caseload with a high number of both referral and emergency cases. Our specialties will include critical care, ophthalmology, cardiology, oncology, internal medicine, endoscopy, anesthesiology, surgery (including neurosurgery, orthopedic surgery and joint replacement). Our hospital building is a 20,000 sq. foot, new, carefully designed construction which houses a complete in-house laboratory, multi-parameter monitoring devices, two digital radiology suites, full complement of ultrasound equipment, fluoroscopy with neurovascular package, 64 slice helical CT, and 1.5T MRI onsite. We are always willing to expand in different directions and explore new diagnostics and therapies.

The region provides a variety of attractions including: museums; galleries; concerts and festivals; diverse wildlife; beautiful beaches; numerous parks and protected areas. The county stretches from Florida's Atlantic coast into the state's rural center and includes the northern edge of the Everglades National Park.
