Job Description

The Receptionist / Administrative Assistant is the first point of contact for visitors and callers and plays a key role in maintaining a professional office environment. This position requires a bilingual (English/Spanish), polished, and highly professional individual who can provide excellent customer service while supporting daily administrative operations.
Essential Duties and Responsibilities:
  • Greet and assist visitors in a professional and courteous manner
  • Answer, screen, and direct incoming phone calls (English & Spanish)
  • Maintain a neat, professional, and presentable reception area
  • Receive and distribute mail, packages, and deliveries
  • Provide administrative support to management and departments
  • Schedule meetings, appointments, and conference rooms
  • Prepare, scan, file, and organize documents
  • Perform data entry and maintain accurate records
  • Coordinate with vendors and service providers
  • Assist with onboarding tasks and administrative processes
  • Support internal meetings and company events
  • Respond to emails and inquiries promptly (English & Spanish)
  • Assist in translating basic communications when needed
  • Maintain confidentiality of sensitive information
Qualifications:
  • Bilingual (English/Spanish) - required
  • High school diploma or equivalent (Associate's degree preferred)
  • 1-3 years of receptionist or administrative experience
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Strong communication and organizational skills
  • Professional appearance and demeanor at all times
  • Strong interpersonal and customer service skills
  • Ability to multitask and handle a fast-paced environment
  • Reliable, punctual, and detail-oriented
  • Ability to sit and work at a desk for extended periods
  • Occasional lifting of office supplies (up to 20 lbs)
Physical Demands:
This position requires the ability to sit, stand, and walk for extended periods while maintaining a professional presence at the front desk. The employee must be able to use standard office equipment, including computers, phones, copiers, and printers, for prolonged periods throughout the workday. Occasional bending, reaching, and lifting of office supplies and materials up to approximately 20 pounds may be required. The role also involves frequent interaction with visitors and staff, requiring clear communication and the ability to remain attentive and responsive in a fast-paced environment. A professional, well-groomed appearance and the ability to present oneself confidently and courteously at all times are essential to successfully perform the duties of this position. The employee is regularly required to lift, carry, and maneuver welding leads, tools, and steel components weighing up to 50 pounds. Physical dexterity involves working confidently and safely over water, off moving barges, and from elevated scaffolding or specialized staging.
