Role:
The Front Desk Coordinator serves as the first point of contact for patients, families, and visitors, providing a welcoming, professional, and compassionate environment. This role supports clinic operations by managing scheduling, patient registration, communication, and administrative tasks while maintaining confidentiality and compliance with HIPAA standards.
Key Responsibilities:
Patient Interaction & Customer Service:
Greet patients and visitors in a friendly, respectful, and professional manner. Check patients in and out for appointments. Verify patient demographics, insurance, and contact information. Respond to phone calls, emails, and inquiries promptly and courteously. Manage high-volume call traffic and triage calls appropriately.
Scheduling & Coordination:
Schedule, reschedule, and confirm appointments in the electronic health record (EHR) system. Coordinate provider schedules and maintain accurate calendars. Send appointment reminders and follow up on missed appointments (no-shows).
Administrative Duties :
Maintain accurate patient records and documentation. Collect co-pays, balances, and process payments as needed. Scan, upload, and file documents in the EHR system. Assist with intake paperwork and onboarding of new patients. Maintain front desk organization and supplies.
Compliance & Confidentiality:
Ensure all patient information is handled in accordance with HIPAA and privacy regulations. Follow clinic policies regarding patient confidentiality and data security. Maintain professional boundaries in a behavioral health setting.
Support Clinical Team:
Communicate effectively with clinicians and administrative staff. Relay messages, urgent concerns, or scheduling conflicts to providers. Assist with basic coordination of care as directed.
Qualifications:
High school diploma/GED and ability to perform basic office functions and computer related duties.
Preferred Qualifications:
1-2 years of front desk, medical office or customer service experience preferred Strong verbal and written communication skills Basic computer proficiency with Microsoft Office, EHR systems Ability to multitask in a fast-paced environment Professional demeanor and strong interpersonal skills Experience in a behavioral health, mental health or medical setting Familiarity with insurance verification and billing processes Knowledge of HIPAA and healthcare privacy practices Experience managing cash sheets and taking payments Agency is an eligible worksite for the VA Education Benefit Program (Veterans) Agency is an eligible work site for the Public Service Loan Forgiveness Program . ENTRY SALARY
