This role is vital in ensuring smooth office operations, providing excellent customer service, and supporting administrative functions. The ideal candidate will be proficient in office management, possess strong communication skills, and be comfortable handling multi-line phone systems and front desk responsibilities. Bilingual abilities are a plus, along with experience in medical or dental office settings. Duties Greet visitors and clients with professionalism and courtesy at the front desk Manage multi-line phone systems, screen calls, and direct inquiries appropriately Handle appointment scheduling and calendar management using Microsoft Office and Google Workspace tools Perform data entry, filing, and maintain organized records for efficient office operation Assist with bookkeeping tasks using QuickBooks or similar software when necessary Support office management tasks such as supply inventory, proofreading documents, and maintaining office supplies Provide exceptional customer service by addressing inquiries promptly and courteously Support administrative functions including typing, document preparation, and proofing correspondence Manage incoming and outgoing mail, emails, and other communication channels Assist with personal or executive support tasks as needed, including calendar management Qualifications Proven experience in office management, clerical work, or administrative support roles Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Experience with multi-line phone systems and front desk operations Bilingual abilities are preferred but not required Excellent organizational skills with keen attention to detail and accuracy Strong customer service orientation with professional phone etiquette and communication skills Ability to handle multiple tasks efficiently within deadlines; excellent time management skills required Prior experience in medical or dental receptionist roles is advantageous Familiarity with bookkeeping software such as QuickBooks is a plus Personal assistant experience or experience managing calendars is beneficial High school diploma or equivalent required; additional office or administrative certifications are a plus
