Job Description

Job Overview We are seeking a dynamic and friendly Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression and supporting overall office efficiency. Responsibilities Greet visitors warmly and direct them appropriately, ensuring a professional and welcoming atmosphere Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness Maintain organized filing systems, data entry records, and ensure all documentation is accurate through proofreading and careful review Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings or events Utilize computer skills across Microsoft Office Suite, Google Workspace, QuickBooks, and other relevant software to perform administrative duties Assist with bookkeeping tasks as needed, including basic invoicing or expense tracking Qualifications Proven office experience with strong clerical skills in a professional setting Excellent organizational skills with the ability to multitask effectively in a busy environment Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools Experience with multi-line phone systems and phone etiquette to handle inquiries confidently Bilingual abilities are highly desirable to serve diverse client needs Strong customer service orientation with the ability to communicate clearly and professionally both verbally and in writing Knowledge of office management procedures such as filing, proofreading documents, calendar management, and time management techniques Previous experience as a receptionist in medical or dental offices is a plus but not required; relevant personal assistant experience is also valued Join us to be part of a vibrant team where your organizational talents and friendly demeanor will make a meaningful impact every day!
