This vital role involves managing front desk operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will be energetic, organized, and possess excellent communication skills to create a positive first impression for visitors and clients. You will handle a variety of clerical tasks, coordinate appointments, and support office management functions to keep our environment efficient and professional. This paid position offers an exciting opportunity to develop your administrative expertise in a fast-paced setting.
Responsibilities include:
Greet visitors and clients warmly, ensuring they feel welcome and attended to promptly Manage multi-line phone systems with professionalism, directing calls accurately and courteously Schedule appointments and coordinate calendar management for staff or practitioners Handle data entry, filing, and document proofreading to maintain organized records Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Maintain office cleanliness and organization to foster a productive workspace Provide exceptional customer support by addressing inquiries via phone, email, or in person with patience and clarity Experience Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) Experience with multi-line phone systems and phone etiquette best practices Strong typing skills with attention to detail for data entry and proofreading tasks Excellent time management skills to prioritize tasks efficiently in a busy environment Experience is advantageous but not required; training will be provided This is an entry level job opportunity with the potential for the right candidate to grow with the Firm.
